Event - Company Offsite

The Brief: 

After rapid growth during lockdown, IMMO wanted to hold its first ever leadership offsite for 35 people. They wanted to find a venue that was a short drive from London, easily accessible from the airport and train stations and also in the countryside. 

They wanted a 5 star venue where they could host day time meetings, have excellent food and coffee throughout the day, followed by an evening of fine food, champagne and entertainment. The next day they wanted a space where the team could meet to wrap up the event over breakfast.

They also had a very short turnaround time of just 6 weeks for us to find a venue, plan and execute the event. 

Key Challenges:

Short timescale. Due to the 6-week turnaround, we had a limited choice of venues. 

Our Approach:

It was all hands on deck to find the perfect venue. We pulled together a short list of 5 venues that fitted the clients brief to present to them. 

Once the venue had been agreed we worked closely with the client to create their perfect event. We arranged a site visit to walk through every aspect of the event to ensure it would be seamless. The client had a lot of varying dietary requirements so it was important that each menu had lots of options that catered for all. We also spent time finding quality entertainment that would suit the atmosphere the client wanted to create. 

For the day time part of the event, we organised a room that had direct access to outside, allowing fantastic natural lighting and giving guests the ability to get fresh air during the breaks. 

We were on site for the whole event to ensure the 2 days ran smoothly and the guests had everything they needed throughout. We took care of everything from name badges, to seating arrangements to organising a gift to be delivered to each guest room, so all the client had to do was relax and enjoy themselves. 

The Event:

Upon arrival guests were greeted with a name badge, agenda and breakfast. The day's sessions then started, we organised regular refreshment breaks so there was a chance to step outside to enjoy the outdoor terrace. Lunch was served in an adjoining room, giving guests a chance to mingle in an informal setting. The afternoon sessions were broken up by a serving of fresh fruit kebabs and afternoon cream tea. 

For the evening, guests were greeted with a champagne and canape reception accompanied by a pianist playing on the hotel's grand piano. They were then  moved through to the dining room where ‘The Travelling Hands’ (band) played whilst everyone enjoyed a 3 course dinner. The roaming band then got everyone on their feet and they moved to the final room where they had the space to sit and talk or dance into the night. 

The next day guests had a leisurely start so they could enjoy the vast grounds surrounding the hotel, they then met for breakfast in a private space so they could close the session with a debrief and round up. 

The Results: 

35 very happy guests! 

The clients had a fantastic experience, the feedback from every single guest was phenomenal.
